Abstract Objective The aim of the study was to describe and evaluate the implementation, coordination, and management strategies used during the course of a multicentre case–control study in order to investigate the effectiveness of the influenza and pneumococcal vaccines in the prevention of hospital admissions due to influenza and pneumonia in patients aged 65 years and over during two influenza seasons in Spain. Methods The project working group was composed of three levels: (i) the Scientific and Coordinating Committee; (ii) the Project Coordinating Site, which consisted of the principal investigator, the project manager and a statistician, and (iii) the regional working groups that consisted of the investigators and interviewers of each participating site. Coordination, communication and management tools were used to carry out the field work during the 2013–2014 and 2014–2015 influenza seasons. Results A total of 728 influenza cases, 1823 influenza controls, 1929 pneumonia cases, and 1929 pneumonia controls were included in the study. Public Health Services in the participating Autonomous Communities collaborated to validate the vaccination status of the cases and controls. Conclusion The tools implemented by the coordinating site for the launch, follow-up and management of the fieldwork resulted in the achievement of the planned objectives for the multicentre case–control study. Technology use was efficient and helped in the communication and training of the investigators and interviewers involved in the project.
